Office Administrator

Exquisite is currently looking for a motivated Office Administrator to join their Owen Sound based team. Reporting directly to the General Manager, the Office Administrator will perform a variety of administrative tasks as part of a fast-paced and rapidly growing organization. This role is a full-time, permanent position with excellent growth potential.

About The Role

The Office Administrator role will provide frontline administrative and clerical support to both internal and external clients.
The successful candidate will have experience working in an office or administrative setting, with strong communication skills and an eye for detail. Duties will include:

 

  • Managing various documentation for all customer accounts

  • Liaising with the internal team to track project status updates

  • Creating reports & tracking documents using various internal software programs

  • Assisting with client paperwork & invoice creation

  • Inputting quotes & prices into the accounting system with complete & accurate information

  • Assisting with purchasing, including writing POs & placing orders with vendors

  • Working with the internal receiving team to track & manage inventory

  • Posting various items received into the accounting system

  • Printing & distributing daily paperwork used within the factory

  • Managing & routing incoming calls, emails, faxes & other communications

  • Following up with external clients, customers, vendors & stakeholders as required

  • Filing & organizing various materials, documents, & paperwork

  • Other general administrative duties as required

Qualifications/Skills

  • 3 to 5 years of previous experience in an administrative or support role

  • Detail-oriented, organized, & efficient self-starter personality

  • Ability to communicate with people across all levels of an organization

  • Proficient with paper & electronic file keeping

  • Strong background in the use of Microsoft Office Suite (including Outlook 365 & Excel)

  • Proficient in the use of Microsoft Teams, including use of SharePoint

  • Experience using billing, accounting & purchasing programs considered an asset
